Volunteer strategy
We map how many people are genuinely needed, when, and for what — replacing over-recruitment and last-minute scrambles with a planned, right-sized team.
WENAO partners with organizations that run on human energy — and turns that energy into outcomes without burning out their teams or their budgets. Our first published partnership is with one of Goa's most ambitious idea platforms.
TEDxPanaji (formerly TEDxMargao) is a grassroots platform built in the spirit of TED's mission of "ideas worth spreading." Since 2023 the team has delivered five events — from TEDxMargao Live and Breaking Barriers to TEDxPanaji Live, the Innovation Hub Challenge and 2025's "It's About Time!" Every one of them is powered by volunteers.
The challenge
Volunteer teams are fluid, unpaid and stretched across curation, production, outreach, sponsorship and hospitality. Without clear roles and structure, effort gets duplicated, people get placed where they do not fit, and the cost of organizing climbs.
Our volunteers are the lifeblood of the event.— TEDxPanaji
What WENAO does
We treat the volunteer force the way we treat any workforce: understand people from the core, then design the structure around what they do best — so the event gets bigger while the cost of running it comes down.
We map how many people are genuinely needed, when, and for what — replacing over-recruitment and last-minute scrambles with a planned, right-sized team.
We define each role against real capability, so volunteers land where their strengths are — curation, production, sponsorship, outreach or hospitality.
We assign clear team structures and owners, so decisions have a home, hand-offs are clean, and no one is left guessing who does what.
We allocate work to make the most of the event while cutting waste — fewer redundant hires and vendors, and a measurably lower cost of organizing each event and meeting.
How we continue to help
Every event teaches the team something new about its people. We keep refining the volunteer structure edition after edition — carrying forward what worked, redefining roles as the team grows, and keeping the cost of each event lean without dimming the experience on stage.
